Payroll Guide
General Info
1. Maintenance needs to be done before any entry is made.
2. This system is date sensitive and you must always enter the
correct date format. The correct format is dd/mm/yyyy. 3. It
is a good idea to have all your information ready when you start
the payroll process, and the less interruptions you have, the
fewer mistakes you will make.
4. Don't try to rush through the steps, give yourself plenty of
time.
1. Pay Period and Deductions
Go from "payroll processing" to "current payroll", then from
"current payroll" to "set-up payroll".
Under the "set-up payroll", you will determine the cycle or
cycles to pay and deductions.
Enter cycles with __mddyyyy
ending date: mmddyyyy g/l date: mmddyyyy (remember
dates are sensitive, and must have month, date, year, example:
10/02/2002).
Under deductions, select which deductions
you wish to take. If a check is to be written now mark check?
__(if you do not want to write a check at this time, do not mark
the box marked write check, and the amount will accumulate until
you are ready to write the check).
Save this screen by
clicking on the "save" button on the task bar at top left.
2. Scheduled Hours
Go to "time entry" once you
select time entry, you need to build scheduled hours (on the
employees selected to pay) by cycle. (the "hammer" on the task
bar builds those hours for you). Click the "hammer" and when the
next screen appears (read center text), and then click on the
"hammer" again to go into entering time.
Now...you are ready to enter hours for the employees that you
have chosen a cycle for and built hours. If any employees whose
scheduled hours do not need to be changed, you do not need to
call them up. They will be entered with the scheduled hours on
their maintenance. (all salaried employees, should be entered
with their salaries on maintenance).
You can select
employees, that need hours changed by hitting the search button
(on center of task bar)___, or just type their last name, find
them and double-click on their name, and it will appear under
"employee". If you have their s.s.#, you can enter that number
and it will pull that employee in for you.
Once you have
finished entering time, you will go to the printer button on the
task bar, and print a trial register.
* Important Note:
Look at this report carefully. Any changes can be entered by
going back into time entry, calling that employee back up,
deleting them (only in time entry), call them back into the
file, by going to "search", drag down to "search master file",
and bring them back into entry on time entry screen. Enter
correct information and reprint trial register/compare to the
first and make sure it is correct.
3. Post Employee
Data
Now go to "post to employee" once the trial
register is correct, you can post to the employees files. To do
this hit the "save" button.
4. Print Checks
The next step is to go to "check printing". You are ready to
print checks. Line-up your checks and click on the "check
printing" button. Enter in the check number that you want to
start with then click on the printer icon on the task bar.
(always make sure you check setting for printer and paper,
before you send print job to printer). Always unload checks once
printed, so nothing will print on checks if another print job is
sent to the printer.
5. Print Register
Next, go to "check register" and print out this register. At
this point you will want to look over this print out closely..
6. Distribution Report
At this point you need to go to "g/l distribution report" and
print out this register. Look over the distributions report
closely. Make sure the total at the bottom of register is $.00,
and that you do not have any "no masters" printed under
descriptions.
7. Update and Save
To Update and Save the record go to "update to g/l". Once you
have clicked this tab hit the save button. Your screen will now
go back to "set-iu" step and you are ready to start your next
payroll.
